Step 1

Three Programs, Zero Visibility

Brightpath ran their after-school, summer enrichment, and mentorship programs out of a combination of Google Sheets, paper sign-in sheets, and a shared email inbox. Tracking which youth were enrolled in which program — and whether they were actually showing up — required manual cross-referencing that consumed hours every week. Volunteers were managed through text message threads. Compliance training for their 40+ seasonal volunteers existed in theory but was nearly impossible to verify. When grant renewal season arrived, staff spent three weeks compiling outcome data that should have been at their fingertips.

Step 2

Participant Tracking and Volunteer Coordination Finally Under One Roof

Brightpath started with Program Management and Volunteer Management — the two areas causing the most daily pain. Within weeks, every youth participant had a profile with enrollment history, attendance records, and emergency contacts. Volunteer onboarding shifted from text chains to structured shift scheduling with automated reminder emails, and no-show rates dropped immediately. Staff reclaimed an estimated 12 hours per week that had been spent on coordination and data cleanup. The Board Management module was brought on at the same time, giving the board their own dashboard with meeting schedules, governance documents, and upcoming deadlines — ending the back-and-forth of email requests before every board meeting.

Closing the Compliance Gap That Had Always Made Them Nervous

With youth programming comes real compliance responsibility — mandatory reporter training, background check verification, and state licensing requirements for staff working with minors. Brightpath used Compliance Management to assign required training by role and began tracking completions automatically, with reminders going out before any deadline was missed. The LMS provided pre-built courses on youth safety, trauma-informed practices, and volunteer management that staff and volunteers could complete on their own time. For the first time, the Executive Director could pull a compliance report in minutes rather than spending a day chasing down certificates. The Project Management module was added to coordinate their annual fundraising gala and summer program launch — keeping every task, vendor, and deadline visible to the whole team without a single status update meeting.

Step 4

More Youth Served, Same Size Team

With their operations finally organized, Brightpath turned their attention to growth. Real-time attendance data and outcome tracking from Program Management gave them the impact numbers their funders had been asking for — and helped them identify that their mentorship program had a 94% retention rate, a story they hadn't been able to tell before. They submitted two new grant applications backed by clean, funder-ready reports and secured both. A fourth program serving high school youth was launched using the same workflows, onboarding volunteers and participants in a fraction of the time the first three programs had taken. By the end of the year, Brightpath was serving 35% more youth with the same twelve staff members.
